Taking intake photos

How to add photos at job intake and on completion, and why it matters.

Intake photos create a timestamped record of a piece’s condition the moment it arrives in your shop. They protect you if a customer ever disputes damage, and they give your technician a clear reference for the work ahead.

Adding photos at intake

When creating a new job, you’ll see a Photos section in the intake form. Tap or click Add photo to open your camera or file browser.

You can add as many photos as you need. A few things to capture:

  • Overall condition — the full piece from a neutral angle
  • Any pre-existing damage — scratches, worn prongs, missing stones, clasp wear
  • The specific area being repaired — so the technician has a clear before-reference

Photos are saved automatically when you submit the intake form.

Adding completion photos

When a job is marked Ready for pickup or Complete, you can add completion photos to document the finished state. These sit alongside the intake photos in the job record.

To add them:

  1. Open the job
  2. Scroll to the Photos section
  3. Tap Add completion photo

This gives you a before/after record for every job.

Viewing and downloading photos

All photos attached to a job are visible in the Photos tab of the job detail page. Tap any photo to expand it. You can download individual photos or all photos as a ZIP from the job detail page.

If a customer disputes damage

Open the job record and navigate to Photos. The intake photos are timestamped with the date and time they were taken. You can share them directly from Workbench or download them to show a customer in person.


Tip: Take photos before the customer leaves the counter — while they’re still there. This makes the documentation unambiguous for both parties.
